Position Overview

The Office & Operations Manager ensures the smooth and efficient running of the office and its operations. Reporting to the local Head of HR & Corporate Services, this role is responsible for managing facilities, office services, suppliers, procurement, ESG and environmental initiatives, travel management, health & safety, IT coordination, business continuity, and local support teams. The position plays a key role in maintaining a safe, sustainable, and productive work environment while supporting the company’s operational excellence.

Your job

  • Oversee all aspects of office management, including facilities maintenance, space planning, and workplace optimization.
  • Manage relationships and contracts with external suppliers and service providers (cleaning, catering, maintenance, security, etc.).
  • Coordinate and supervise local support teams (reception, administrative staff, facilities, and service personnel) to ensure seamless daily operations.
  • Lead procurement processes and ensure cost-effective purchasing aligned with internal policies and budgets.
  • Act as the local IT contact, coordinating with global IT teams to resolve technical issues and manage equipment needs.
  • Ensure compliance with Health, Safety & Security regulations and lead emergency response and business continuity initiatives.
  • Manage local ESG (Environmental, Social & Governance) policies and implement environmental and sustainability measures across office operations.
  • Oversee travel policies and manage relationships with travel providers to ensure compliance, efficiency, and cost control.
  • Manage local Integrated Risk Management activities, including Business Continuity, Operational Control & Risk Assessment, and Non-Financial Risk processes, ensuring proper coordination, implementation of mitigation measures, and alignment with Group requirements.
  • Support HR & Operations leadership on continuous improvement projects and office-related initiatives that enhance employee experience, sustainability, and operational efficiency.

Your profile

  • Bachelor’s degree in Business Administration, Operations Management, or a related field.
  • Minimum of 5 years of experience in office management, facilities, or operations roles.
  • Proven experience leading or coordinating administrative or support teams.
  • Strong knowledge of ESG or sustainability practices within office environments is a plus.
  • Strong organizational, negotiation, and vendor management skills.
  • Solid understanding of Health & Safety regulations and workplace compliance.
  • Excellent communication skills in Spanish and English.
  • Proactive, hands-on, and service-oriented mindset, with the ability to manage multiple priorities.
