Purpose of the Position

To support the Chief Underwriting Officer (CUO), Chief Innovation Officer (CIO), Head of Claims and broader Executive Team of Munich Re Specialty North America, Binding Authorities by providing a senior administrative level of support and ensuring important tasks and deadlines are met in a timely manner. To work alongside the Senior Executive Associate, where you will be responsible for communicating regularly with the wider stakeholder groups including the Binding Authorities Executive Team, entities from the Munich Re Group, Customers and Service Providers.

General Duties and Responsibilities

  • Provide high level administrative support typically within clearly defined guidelines.

  • You will require handling of sensitive and confidential information; and discretion is paramount.·

  • Carry out diary management including organising meetings, lunches and dinners for all Executive Team members and clients as required.

  • Inbox management for Executive Team members including reviewing, responding and prioritizing incoming E-mails where required.

  • Organise and co-ordinate travel and accommodation for the Executive Team and employees and organise logistical activities e.g. couriers, taxis and reservations.

  • Help compile monthly expenses for the Executive Team when required.

  • Screen phone calls, enquiries and requests, handling them personally.

  • Provide support and assistance to Senior Executive Associate where required.

  • Provide administrative support to the office of the CEO.

  • Create administrative procedures to ensure the on-going efficient processes are in place to allow the Executive Team to work as effectively as possible.

  • Coordinate logistics and detailed arrangements for virtual and in person meetings, conferences and events etc.

  • Organise meeting materials including but not limited to PowerPoint presentations, Excel reports, workshops, and training sessions. This also includes formatting, proof reading and distributing materials on tight deadlines.

  • Meeting minute taking, allocating and managing actions following meetings where required.

  • Help with the co-ordination of any 'in-house functions' and company 'event' invitations

  • To abide by the procedures of Munich Re Specialty North America Binding Authorities (Bell & Clements Ltd).

 

Desired Skills & Experience:

  • Can communicate effictely 

  • Previous team assisant experience is desirable but not essential 
  • You are organised and can prioritise workload effectively

  • You can meet deadlines and are motivated with a "can do" approach

  • Work well with others, participates in teamwork, can co-ordinate multiple tasks
